Vegas Marries the Military 2025 Terms and Conditions for Participating Vendors Presented by the Vegas Wedding Chamber

INTRODUCTION

Vegas Marries the Military is an annual philanthropic event organized by the Vegas Wedding Chamber to honor United States Veterans and active-duty as well as Retired military couples through the gift of complimentary weddings. These weddings are made possible by generous contributions from members of the local wedding and events industry. Participating Vendors who agree to donate goods or services for this special occasion must read and agree to the following Terms and Conditions, which are binding upon acceptance.



1. DEFINITIONS

"Sponsor" refers to the Vegas Wedding Chamber, a 501(c)(6) nonprofit professional association and the official host of the Vegas Marries the Military event.
"Participating Vendor"
refers to any individual, business, or organization that agrees to contribute goods and/or services to the event without monetary compensation.
"Event"
refers to all official programming and activities associated with Vegas Marries the Military 2025, scheduled to occur on November 6, 2025.



2. NATURE OF PARTICIPATION

All services, products, labor, and time donated by the Participating Vendor are offered on a voluntary, non-compensated basis. Participation does not establish or imply any employment, partnership, or joint venture between the Participating Vendor and the Vegas Wedding Chamber. If any items require reimbursement or compensation must be submitted in writing and approved by a majority vote of the Vegas Wedding Chamber Board of Directors prior to the Event. Only items that are absolutely necessary will be approved for compensation.

As a 501(c)(6) professional association, the Vegas Wedding Chamber is not a charitable entity. Therefore, contributions made toward this event, whether in cash, in-kind services, or materials, are not tax deductible. Vendors agree to represent this donation accordingly in all financial records and communications.



3. SELECTION PROCESS AND PARTICIPANT COMMITMENT

Participating Vendors are selected solely at the discretion of the Vegas Wedding Chamber’s Community Outreach Committee. All applications will be reviewed during the submission period, and vendors will be notified of acceptance no later than August 1, 2025.

Should a Participating Vendor wish to withdraw, written notice must be provided no later than September 1, 2025. Withdrawal after that date requires the Vendor to assist in securing a qualified replacement. Any vendor who withdraws after October 1, 2025, and fails to provide a replacement may be held responsible for up to 50% of any incurred costs required to secure a substitute.



4. MEDIA RIGHTS AND CONTENT OWNERSHIP

All photographs, videos, and multimedia content captured at the Event, whether created by the Chamber, its agents, or Participating Vendors, shall become the sole property of the Vegas Wedding Chamber. Vendors agree to release full rights to use, publish, distribute, and share this content for promotional, educational, or commemorative purposes, including with strategic partners such as the Clark County Clerk’s Office, also known as "The Wedding Capital of the World."

Participating Vendors providing photography, videography, or content creation agree to deliver all finalized content to the Chamber within seven (7) days following the Event. Photos must be in JPG format with a minimum file size of 5MB, and videos must be provided in MP4 format at a minimum resolution of 1080p. Failure to deliver content in a timely manner may result in removal from future consideration.

By participating in the event, all vendors, their staff, and subcontractors agree to appear on camera and waive any claims to rights of likeness, appearance, or copyright regarding any media captured at the event. This includes group or individual appearances in promotional materials, video productions, or press coverage related to the Event.

Vendors are strictly prohibited from issuing press releases, interviews, or speaking to media about the Event without the prior written consent of the Vegas Wedding Chamber Board of Directors.



5. LICENSING AND INSURANCE REQUIREMENTS

All Participating Vendors must be duly licensed to conduct business in the State of Nevada. Vendors are required to maintain a general liability insurance policy with minimum limits of $1,000,000 per occurrence and $2,000,000 aggregate.

Each Vendor must submit a valid Certificate of Insurance (COI) naming the Vegas Wedding Chamber as the Certificate Holder. The COI must also include all Additional Insureds, which the Chamber will provide no later than September 1, 2025. The COI must be submitted no later than October 15, 2025. Vendors who fail to submit proper documentation by the deadline may be disqualified from participation.



6. LIABILITY WAIVER AND INDEMNIFICATION

The Vegas Wedding Chamber, its officers, directors, agents, partners, and other participating vendors shall not be liable for any claims, damages, injuries, or losses sustained by the Participating Vendor or their agents in connection with their participation in the Event.

By participating, the Vendor agrees to indemnify and hold harmless the Vegas Wedding Chamber and all related parties from any and all claims, actions, liabilities, damages, and expenses, including legal fees, arising from their actions or omissions.



7. CONFIDENTIALITY AND NON-DISCLOSURE

During the course of planning or participating in the Event, the Vendor may be exposed to proprietary, confidential, or sensitive information. Vendors agree to maintain strict confidentiality of any such information and not disclose it to any third party without written consent from the Vegas Wedding Chamber, except as required by law.



8. ADDITIONAL LEGAL TERMS

  • Entire Agreement and Modification: This document contains the full and complete understanding of the parties and supersedes all prior or contemporaneous communications, representations, or agreements, either oral or written. No amendment or modification shall be binding unless in writing and signed by both parties.
  • Assignment: This agreement may not be transferred or assigned, in whole or in part, by the Vendor without the prior written consent of the Vegas Wedding Chamber.
  • Governing Law: This agreement shall be governed by and construed in accordance with the laws of the State of Nevada.
  • Severability: If any provision of this agreement is found to be invalid or unenforceable, the remaining provisions shall continue in full force and effect.
  • Force Majeure: Neither party shall be liable for failure to perform its obligations under this agreement if such failure results from acts of God, war, natural disasters, labor disputes, pandemics, government restrictions, or any other cause beyond their reasonable control.
  • Waiver: The failure of either party to enforce any right or provision shall not constitute a waiver of future enforcement of that right or provision.
  • Confidentiality of Agreement: This agreement and all details associated with vendor selection and participation shall remain confidential unless otherwise approved in writing by the Vegas Wedding Chamber.



ACCEPTANCE

By agreeing to participate in Vegas Marries the Military 2025, the Participating Vendor acknowledges that they have read, understand, and agree to abide by these Terms and Conditions in full.
